Position Overview
The Closing Specialist is responsible for managing all aspects of estoppel processing, ownership transfers, and closing support. This role serves as a key point of contact for internal teams, clients, and external partners, ensuring accurate and timely completion of all related transactions.
Key Responsibilities
Include, but are not limited to:
Respond to and manage inquiries from unit owners, attorneys, and other stakeholders regarding estoppels, closings, and related questionnaires via phone and email.
Communicate with mortgage brokers regarding questionnaire requests and provide necessary documentation.
Address follow-up requests from realtors on the status of estoppels, affidavits, and closing documentation.
Process ownership transfers, including recording deposits and scanning associated payment checks.
Review HUD statements and closing checks to complete ownership updates accurately.
Monitor pending ownership changes and follow up on outstanding HUDs and payments to ensure timely processing.
Review, approve, and release estoppel certificates prepared by the offshore team.
Provide guidance and support to offshore staff, assisting with research and issue resolution as needed.
Conduct public records research when discrepancies arise between estoppel requests and Yardi system ownership records.
Manage and track transfer fee payments, maintaining an organized Excel log and ensuring proper scanning to the AKAM corporate account.
Compile and prepare revenue reports related to estoppels, questionnaires, and transfer fees.
Qualifications
3-5 years of experience handling closings and estoppels within the property management or real estate industry.
Familiarity with Condo Certs software is preferred.
Experience using Yardi accounting/property management software is a plus.
High School Diploma or equivalent required.
Demonstrated ability to manage multiple tasks efficiently in a high-volume environment.
Proficiency in Microsoft Office, particularly Word and Excel.
Strong written and verbal communication skills with attention to detail.
